This Privacy Policy explains how CaseVia collects, uses, and protects information when immigration professionals, beta participants, and invited clients use the CaseVia website or intake experience.
CaseVia is built to help professionals collect and organize client intake information. It is not a law firm and does not provide legal advice.
Information we may collect
- Contact information such as name, email address, phone number, organization name, and beta request details.
- Intake information entered by invited clients, including case details, documents, answers, corrections, notes, and related workflow activity.
- Basic technical information such as device type, browser, pages visited, and interaction data used to keep the product reliable and secure.
How we use information
- To provide, test, and improve the CaseVia intake experience.
- To help professionals review submitted client information, requested corrections, documents, tasks, messages, and case packets.
- To respond to beta requests, product questions, support needs, and feedback.
- To protect the service, prevent misuse, and maintain an audit-friendly activity history.
Sharing and service providers
CaseVia may use trusted service providers for hosting, storage, analytics, communication, and product operations. These providers may process information only as needed to support the service.
CaseVia does not sell client intake information. We may disclose information if required by law, to protect rights and security, or with appropriate authorization from the professional or organization using the service.
Security and retention
We use reasonable administrative, technical, and organizational safeguards designed to protect information. No online system can be guaranteed to be completely secure.
Information is retained for as long as needed to operate the service, support beta testing, comply with legal obligations, resolve disputes, and maintain workflow records.
Your choices
You may request access, correction, or deletion of information by contacting CaseVia. Some records may need to be retained where required for security, legal, audit, or operational reasons.
Organizations using CaseVia are responsible for managing their own client relationships, authorizations, and professional obligations.
Waitlist & Advertising (Meta Ads)
For the Founding Members waitlist, we collect contact and professional details. This data is used to manage access, prevent duplicate submissions, and send communications regarding the launch of CaseVia.
Waitlist records are securely stored on Firebase/Google Cloud in accordance with Google Cloud policies.
We use the Meta Pixel and Conversions API to measure the effectiveness of our waitlist ad campaigns. This involves securely processing and sharing conversion events with Meta, alongside measurement parameters such as fbp, fbc, click identifiers, and UTMs.
Important: Meta Ads data sharing is strictly limited to public site visitors and waitlist submissions. We never share client intake information or documents with Meta or any other advertising platform.
Changes to this policy
We may update this Privacy Policy as CaseVia evolves. When changes are made, we will update the effective date and publish the revised policy on this page.
